Gift Cards

Skyware Systems has the ability to allow gift cards to be issued and accepted at your Property, partnering with the company Factor 4. Gift cards can be extremely useful tools for your business, allowing you to increase your sales and attract new customers, reduce fraud and be an effective marketing tool. Your guests can use gift cards as a convenient substitute for cash when making reservations or purchases and scheduling any activities, or if they wish to give a gift to someone else. The Quick Gift Card screen enables you to enter and set up the template types for any gift cards that will be accepted by your Property, including for special offers. IF you wish to be able to load a gift card with an amount OTHER than the purchase price (such as spend $25, get $50 value) you MUST set it up as a template before card activation.

This is part of the OPTIONAL configuration for Skyware Systems. Once you have spoken to Skyware to initiate your gift card use, you may edit the configuration to suit your Property at any time if you have the appropriate access/authorization.

This selection is part of the Property and System Configuration area of Skyware.

Note: Gift cards are physical cards appearing much like a credit card. For gift card use at your Property, you must have a supply of blank gift cards (purchased from Factor 4) ready to be activated when purchased by your guests. Gift card use MUST be enabled by Skyware for your Property before any can be issued or used. (Please see our Help topic "How to Enable Gift Card Use" for further details, and call us at Skyware to enable your gift card use). Gift card use is not authorized automatically by Skyware; however their use is easy to initiate, and once enabled simply requires the generation of a gift card payment posting type. After this, gift cards may be activated via the gift cards tab on the Quick Sale screen. Any templates generated using the Quick Gift Card screen will be available for selection on this tab, as well as the option to enter gift card amounts manually being available.

 

 


Select Managers Screen from the Quick Menu on the left side of the screen, then select Configuration > Gift Cards.

Select Manager's Screen to be taken to the MANAGER'S COMMANDS screen.

Select Configuration to be taken to the PROPERTY AND SYSTEM CONFIGURATION screen.

Alternately, you may also be able to select Configuration directly from the Quick Menu, if the menu has been set up to include the Configuration option.

This will take you to The Property System Configuration Menu.

The list of property configuration options are divided into four sections, which are Required Configuration, Optional Configuration, Locales/Dates and Sub-Systems.

Select Gift Cards from the Optional Configuration section.

The Quick Gift Card screen display is split into two frames, with the left side of the screen listing any already configured gift card templates for the Property and the right side containing the fields you need to complete in order to add or edit a gift card template for your Property. Any changes made on the right, once saved, will be updated in the listings to the left.

The currently configured options are displayed by:

Order: List Order of the gift card templates. If there is no list order number, the gift card templates will be displayed alphabetically.

Card Name: The name of the gift card template or how you wish to refer to it.

Amount: The amount that the gift card is worth at your Property.

Chargeable: The amount that will be charged at time of purchase for a gift card of this template type.

 

Selecting any gift card template on the left will display the details on the right.

Your options include the following:

Generate a new entry:

Click the New Generate New Entry button button from the toolbar to add a new gift card template.

Complete the fields described below.

OR:

Select an existing gift card template from the list on the left, and click the Replicate Replicate Current Entry button button from the toolbar. Then change the field information as described below.

Edit the current selection:

Change the field information described below.

List Order: Enter the desired List Order for this gift card template. If there is no list order number, the gift card templates will be displayed alphabetically.

This field is optional.

Card Name: This is the description of the gift card template. You should enter the full description of the gift card template here.

This field is required.

Card Amount: Enter the value amount that a gift card of this template type is worth at your Property. This is the amount that someone using the card will have available to spend.

This field is required.

Chargeable Amount: Enter the amount to be charged at the time of the gift card purchase for this template type.

Note: This field is not required as the amount charged may be set manually at the time of purchase, however it is strongly recommended that if the price is to be fixed the amount is entered here.

 

When you are finished adding or editing any gift card templates, click the Save Save button button to save the changes.

To view any changes made, click the Activity log Activity Log button button in the local tool bar.
